About the Role

You'll manage payroll processing, employee onboarding and offboarding, state compliance filings, insurance administration, and related internal operations. The work is cyclical and deadline-driven, so the right person needs to be accurate with numbers, organized, and comfortable working independently with minimal supervision.

Responsibilities

  • Run biweekly payroll, including commission processing
  • Reconcile HubStaff timekeeping against payroll records for workers' comp accuracy
  • Coordinate payroll processing with the accountant and alert them when payroll is ready to run
  • Enter payroll data into The Hartford for insurance
  • Support the annual Hartford audit
  • Onboard and offboard employees, including paperwork, system access, and state registrations
  • Manage PTO requests and approvals
  • Open state tax accounts and Secretary of State registrations when hiring in new states
  • Close out state accounts when the company no longer has employees in a state
  • Maintain and update internal SOPs
  • Handle incoming mail for the company

Requirements

  • Experience processing payroll for a small company with fewer than 50 employees
  • Familiarity with state-level employer registrations, including tax accounts and Secretary of State filings
  • Comfortable with workers' comp reconciliation and insurance administration
  • Uses AI tools as part of the workflow for drafting SOPs, researching compliance questions, and organizing information
  • Organized, deadline-driven, and reliable in a fully remote environment
  • Able to work independently without day-to-day management
  • Reliable internet and a quiet workspace

Nice to Have

  • Experience with The Hartford or similar workers' comp / insurance platforms
  • Familiarity with HubStaff or similar time-tracking tools
  • Previous experience supporting a fully remote company
  • Basic understanding of multi-state employment compliance
